Privacy Policy

This Privacy Policy explains how DearRecruiter ("DearRecruiter", "we", "us") collects, uses, and protects your information when you use our Chrome extension and website at getdearrecruiter.com (together, the "Service"). By using the Service, you agree to the practices described here.

The short version: Your résumé and the details you enter stay on your own device. On our servers we store only your account (the email you sign in with and the email you send from), your plan & billing status, and usage events linked to your account (counts and timings only) — never the content of your résumé or emails. When you click Apply, we send the post text and your résumé to our AI provider for the sole purpose of drafting that one email. We only send email you review and approve, and we never read your inbox. On our website (getdearrecruiter.com) we use Google Analytics cookies to understand visits — the extension itself uses no third-party tracking.

1. Information we collect

We collect only what's needed to draft and send your application emails:

  • Profile details you provide — such as your name, current role, years of experience, notice period, current and expected compensation, and location.
  • Your resume — the file you upload and the text extracted from it.
  • Post or job content you choose to apply to — the text of the LinkedIn hiring post or job listing (and the recruiter's email address, if the post contains one), captured only when you click Apply.
  • Your Gmail account — the email address you connect, and an authorization token that lets us send email on your behalf.
  • Consent record — the date and version of the terms you agreed to.

In addition, we store the following on our servers to run your account and improve the Service:

  • Account identifiers — your Google account ID and the email you sign in with (your stable account), plus the sending email you choose. You can change the sending email without changing your account.
  • Plan & billing status — your plan (Free/Pro), subscription status, and a customer reference from our payment provider. We do not store your card details — those are held by the payment provider (Stripe).
  • Product-usage events — events about how the Service is used (e.g., a draft was generated, an email was sent, an onboarding step was completed), linked to your account, with counts and timings only — never the content of your emails, résumé, or the posts you apply to.

We do not collect your LinkedIn password, your Gmail inbox contents, or browse your activity across the web. We do not store your résumé text, the details you enter, your email drafts, or recruiter content on our servers.

2. How we use your information

We use your information solely to:

  • Read the hiring post or job listing and your resume to draft a personalized application email;
  • Pre-fill and send that email through your connected Gmail account when you approve it;
  • Operate, maintain, and improve the Service;
  • Measure product-usage events — app interactions such as a draft being generated, an email being sent, or an onboarding step being completed (counts and timings only) — to keep the Service working and improve its features. These events never include the content of your emails, résumé, or the posts you apply to, and we never use your Gmail data or Google profile to build advertising or marketing profiles;
  • Keep a record of your consent.

We do not sell your personal information, we do not use your résumé, Gmail data, or Google profile for advertising, and we do not use data obtained through Google APIs for any purpose beyond providing and improving the app's user-facing features.

3. Where your data is stored

On your device. Your résumé, the profile details you enter, and the posts you choose to apply to are stored locally in your browser (chrome.storage). This content stays on your machine and is transmitted only when needed to perform an action you request — namely, drafting an email when you click Apply. It is not kept on our servers.

On our servers. We keep a small record needed to run your account and billing in our database (hosted on Supabase): your account identifiers (Google ID, sign-in email), your sending email, your plan & billing status, your usage counters, and product-usage events linked to your account (counts and timings only — app interactions, not Google or Gmail data). This record does not contain your résumé, your entered details, your email drafts, or recruiter content. Your Google ID and sign-in email are used only to operate your account, plan, and usage — never for advertising, and never shared with analytics or ad services.

4. AI processing

To compose your draft, the relevant information (your resume text, the details you entered, and the text of the hiring post or job listing) is sent to our processing service and to our third-party AI provider for the single purpose of generating your application email. This data is used to produce your draft and is not used to train models on your personal information.

5. Gmail access & Google user data

When you sign in with Google, DearRecruiter receives your Google account email and basic profile to identify and operate your account, and you grant send-only access to Gmail — the gmail.send scope, and no other Gmail permission. This lets us send the application emails you write and approve, but we cannot read, search, or access your inbox, your existing messages, your contacts, or your Gmail settings.

We use the data obtained through Google APIs only to provide and improve DearRecruiter's user-facing features — namely, signing you in, operating your account and plan, and sending the emails you approve. We do not use this Google user data for advertising or marketing; we do not sell it; we do not transfer it to third parties except as necessary to provide these features or as required by law; and we do not use it for any purpose unrelated to the app. Gmail access is used solely to send messages you approve — Gmail data is never read, never used for analytics, and never used for any other purpose.

You can disconnect Gmail or revoke access at any time from your Google Account settings or by removing the extension.

DearRecruiter's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Website analytics & cookies

On our website (getdearrecruiter.com), we use Google Analytics to understand how visitors find and use the site. To do this, Google Analytics sets cookies and collects standard usage data such as pages viewed, approximate location (derived from a truncated IP address), device and browser type, and referring source. This data is pseudonymous and used only in aggregate to improve the website; we do not use it to identify you personally, and we never link it to your résumé, emails, or account.

This applies to our website only. The DearRecruiter browser extension does not use Google Analytics or any other third-party tracking — product usage inside the extension is measured through our own first-party analytics (counts and timings only, as described above). Importantly, Google Analytics receives only anonymous website-visit data; it does not receive any data obtained through Google APIs, your Gmail data, or your DearRecruiter account information. We never send Google user data to Google Analytics or any other analytics or advertising service.

You can control or block analytics cookies through your browser settings, or by installing Google's Analytics Opt-out Browser Add-on. Google's handling of this data is governed by the Google Privacy Policy.

7. Data sharing

We share your information only as needed to run the Service:

  • Our AI provider — to draft your email, as described above.
  • Recipients you choose — the recruiter's email address you apply to receives the message you approve and send.
  • Service providers — infrastructure providers that host our processing service, bound to handle data only on our instructions.
  • Google Analytics — website usage data only, as described in "Website analytics & cookies" above.
  • Legal reasons — if required by law or to protect rights, safety, and the integrity of the Service.

We never sell your personal data.

8. Data retention

Profile details and your résumé remain on your device until you delete them or remove the extension. Content sent to draft an email is processed transiently to generate your draft and is not retained for any other purpose. Your account, billing, and usage records are retained on our servers while your account is active so we can operate the Service, honor your plan, and understand usage; you can ask us to delete them (see "Your choices & control"). Consent records are kept so both you and we have a record of what was agreed.

9. Your choices & control

  • Edit or remove your profile details and resume at any time from the extension.
  • Review and edit every email before it is sent — nothing is sent automatically.
  • Disconnect your Gmail account or revoke access from your Google Account.
  • Uninstall the extension to stop all processing and remove locally stored data.
  • Contact us to request access to or deletion of any information we hold, including your account, billing, and usage records on our servers.

10. Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) for data in transit. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Children

The Service is intended for users who are at least 16 years old and of legal working age. It is not directed at children, and we do not knowingly collect information from them.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date above and, where appropriate, notify you within the Service.
